Payments, Payouts & Cancellation

Booking confirmation and Payment flow:


1. Booking is requested by the event organiser and accepted by the event vendor.


2. 20% deposit is paid:

Event organiser pays 20% deposit - Stripe securely holds the funds


3. Vendor pays 4% booking fee:

4% booking fee is deducted from the vendor's card automatically.


4. 80% Balance charged:

` 14 days before the event, the remaining 80% is automatically charged to the organiser.

Note: if the booking is done within 14 days before the event, the organiser will be charged 100%.


5. Event takes place: the event occurs as scheduled.


6. Payment is released 2 days after the event, less Okalenda commission (from 4% to 15%)

Funds are released to the vendor via Stripe Connect.


7. Funds arrive in Vendor's Stripe Account:

Funds arrive in the vendor's Stripe account (typically 2-5 business days, depending on Stripe)



Okalenda's commission:


Okalenda Commission will vary according to the booking fee (the more expensive your booking fee, the lower Okalenda's commission - we want your business to succeed!!)


Booking Price = $0 – $699

Okalenda's commission = 15%

Booking fee = 4%


Booking Price = $700 – $1,499

Okalenda's commission = 12%

Booking fee = 4%


Booking Price = $1,500 – $4,999

Okalenda's commission = 10%

Booking fee = 4%


Booking Price = $5,000 – $14,999

Okalenda's commission = 8%

Booking fee = 4%


Booking Price = $15,000 – No Max

Okalenda's commission = 4%

Booking fee = 4%



Important:

  • The booking fee is automatically deducted from the vendor once the event organiser pays the 20% deposit.
  • The commission is deducted from the vendor's final payout after the event.
  • The price displayed to the event organiser on Okalenda is the final price they will pay, with no additional platform fees added at checkout.



Cancellations & Refunds



Event organiser cancels the booking:



Scenario 1: Customer Cancels Booking (Booking Date More Than 14 Days Away)

Conditions

  • Booking date is more than 14 days from the cancellation date.
  • Customer has paid a 20% deposit.
  • Vendor has already been charged the booking fee.

Outcome

  • The customer's 20% deposit is immediately transferred to the vendor as per the cancellation policy.
  • The booking fee remains charged to the vendor.
  • No refund is issued to the customer.



Scenario 2: Customer Cancels Booking (Booking Date Within 14 Days)

Conditions

  • Booking date is within 14 days from the cancellation date.
  • Customer has paid:
  • 20% Deposit
  • Remaining 80% Booking Amount
  • Vendor has already been charged the booking fee.

Outcome

  • The 20% deposit is immediately transferred to the vendor.
  • The remaining 80% payment remains held by the platform, and the platform can either transfer it to the vendor or refund it to the customer as per the vendor's agreement.




Vendor cancels the booking:



Scenario 3: Vendor Cancels Booking (Booking Date More Than 14 Days Away)

Conditions

  • Booking date is more than 14 days from the cancellation date.
  • Customer has paid a 20% deposit.
  • Vendor has already been charged the booking fee.

Outcome

  • The customer's 20% deposit is automatically refunded.
  • The vendor is charged the applicable cancellation fee.
  • The cancellation fee is deducted from the vendor's booking fee settlement.
  • No payout is released to the vendor.


Scenario 4: Vendor Cancels Booking (Booking Date Within 14 Days)

Conditions

  • Booking date is within 14 days from the cancellation date.
  • Customer has paid:
  • 20% Deposit
  • 80% Remaining Booking Amount
  • Vendor has already been charged the booking fee.

Outcome

  • Customer receives a 100% refund automatically.
  • Vendor is charged the applicable cancellation fee.
  • System deducts cancellation charges from the vendor during the next booking fee deduction, based on the amount configured in the Admin Panel.
  • No payout is released to the vendor.



Cancellation fee - this will apply to the vendor in case of cancellation:


61+ days before the event

Reliability score impact for vendor cancellations at any time.


31–60 days before the event

$50 cancellation fee


15–30 days before the event

$100 cancellation fee


72 hours – 14 days before the event

$150 cancellation fee


48–71 hours before the event

$200 cancellation fee


Less than 48 hours before the event OR no-show

$300 cancellation fee + account restriction


Note: Okalenda may deduct cancellation fees from future payouts or charge the vendor’s saved payment method.


An account restriction may include one or more of the following, at Okalenda’s discretion:

  • Temporary suspension from accepting new bookings
  • Reduced visibility in search results
  • Mandatory account review before reactivation


Okalenda may mediate disputes at its discretion. Refund decisions will be handled according to this policy unless otherwise required by law.


If an event is cancelled directly between the vendor and the user and the cancellation is not processed through the Okalenda platform, any platform-related fees, costs, or expenses may still be charged to either the user or the vendor, depending on the circumstances of the cancellation.
